Workday Frequently Asked Questions (FAQ)

Workday goes live in January 2026 with major changes for all employees. Throughout the fall, we’ll share details about what’s changing and what you can do to prepare.

What Is Changing?

What is Changing:  

  • Hourly employees - including Student Workers - will no longer submit paper timesheets! 

  • Hourly employees will record their time directly in Workday - either through the web or the Workday Mobile app.  

  • Dining Services will use a Workday Time Kiosk to make clocking in and out more convenient. Employees will log into Workday at the end of the pay period to submit their timesheet for approval.  

  • Time off requests and accruals will be tracked in Workday in real time. 

  • Employees will be able to model time off in Workday before submitting requests, making it easier to plan ahead. 

How to Prepare for These Changes:

  • Sign up for Workday Training Classes! ´Ú´Ç°ù Workday Essentials a²Ô»å Time Entry for Hourly Employees.  A short video just for Student Workers will be available in November. 

  • Connect with your Change Agent Network and Change Team members. They’re here to guide you through the transition and answer your questions. 

  • Stay Informed. Read the Daily Digest a²Ô»å Finance & Administration Newsletter — both will include frequent updates and helpful information about Workday. 

About Workday

Workday is a cloud-based Enterprise Resource Planning (ERP) system. It's a software system used by organizations to manage various processes and operations. It essentially serves as a central database that stores and tracks information and automates workflows related to things like finances and human resources.

The idea is to have a single, integrated system that provides a holistic view of the organization and streamlines processes across departments. An ERP system can help organizations make informed decisions.

Workday will offer many benefits to the College including:

  • Simplifying complex, paper-based procedures into one solution
  • Improving data visibility, reliability, & usefulness
  • Providing easy to use modern technology

Ultimately, Workday will create a better experience for staff, faculty and students. Updating our systems and processes will help alleviate inefficiencies, increase job satisfaction, and allow employees to spend more of their time on work that advances the mission of the College.

Faculty, Staff and Student Employees

  • Workday Employee Self Service will provide easy maintenance of employee profile information, payroll elections, and employee benefits.
  • Employees will also be able to submit time entries (for hourly employees), leave requests, expense reports, and view their leave accrual and pay.

Department Chairs and Administrative Staff

  • Workday will provide greatly enhanced access to budget information, expenditures, and available funds. It will offer new and advanced reporting features and data analysis opportunities.

People Managers

  • Workday will provide supervisors with streamlined tools to manage their team’s time entries (for hourly employees), leave requests, and accrued leave balances.
  • The recruiting, hiring, and onboarding processes for new employees will also be managed through Workday.

Human Resources, Finance and Payroll

  • Workday will have the greatest impact on staff working in these areas. The Human Resources, Finance, and Payroll teams will gain significant improvements in abilities to efficiently manage core business processes, data, and information critical to the efficient operations of the College.

Notifications will be sent to your email and you can log in to Workday to see what they are - or turn on Workday in-app notifications.

About the Project

  • This website is the primary communication channel for all 91³Ô¹ÏÍø community members to learn about Workday.
  • Regular reminders and updates will be published in the Daily Digest and Finance & Administration Newsletter.
  • We encourage you to send feedback, questions, ideas and recommendations to nextgen@brynmawr.edu. We will do our best to get back to you as quickly as possible.
